What Happens at This Stage

After project completion, Nextoria Hub closes the loop with automated invoicing. Because the proposal, deliverables, and time logs all live in the same platform, final invoices can be generated with a single click — already populated with the correct line items.

Auto-Generated Final Invoice

When a project is marked Completed, Nextoria Hub offers to draft a final invoice:
  1. Click Generate Invoice in the project completion dialog
  2. The invoice is pre-populated with:
    • All approved deliverable line items from the original proposal
    • Any approved change request addendums
    • Time-and-materials line items (if applicable, based on logged hours × configured rates)
  3. Review and adjust as needed
  4. Click Send Invoice

Milestone-Based Invoicing

For longer projects, send invoices as each milestone is completed rather than waiting for full delivery:
  1. In the project, go to Milestones
  2. On each milestone, toggle Invoice on Completion
  3. Set the invoice amount (fixed fee or % of total project value)
  4. When the milestone is marked complete, Nextoria Hub auto-drafts the invoice for review

Retainer Billing

For recurring retainer clients, set up Recurring Invoices under Finance → Recurring:

Recurring invoices are sent on schedule, with Stripe automatically charging the saved payment method if the client has set up autopay.

Payment Confirmation & Wrap-Up

When the final invoice is paid:
  1. Project moves to Archived status
  2. A Project Summary is generated and stored in the client’s portal history
  3. A payment receipt is sent to the client automatically by Stripe
